Choosing The Adventure Element for your DofE

What is the process to get started?

Booking, registration and payment can all be done through our website. If you have any questions or need further details please get in touch.  Email, phone or complete the 'Contact Us' form. We'll get back to you straight away and can chat through and answer any questions you have, and confirm any details.

What is the process leading up to the Expedition, what information will I receive?

From your initial booking we are here to help. A 25% deposit is required to secure your place on the Open Expedition. Eight weeks before the Expedition the remaining balance will be due. You will then receive all relevant joining information, which includes a 'Joining Guide' containing all the relevant information you will need about your Programme. 

 One week before your Expedition, you will receive an email confirming details of the team that will be looking after you on Expedition, plus details such as finish location.

Who do I speak to if I have any questions before the expedition?

We are always here to answer any questions and offer help and suggestions before, during and post expedition. Our DofE Manager, Alex Knill, will be your main contact for any questions. Find out a bit more about Alex

Are all of your staff DBS checked?

Yes, all staff working with young people hold a DBS Enhanced check (Disclosure Barring Service). In addition, they subscribe to the DBS update scheme. Copies can be supplied upon request.

What are your staffing ratios?

For Practice and Training Expeditions the rations will be 1:1. For Qualifying, the ratios will be 1:2

Do you offer Bronze, Silver and Gold Open programmes?

We offer Open programmes for Silver and Gold Practice and Qualifying expeditions, but not Bronze. We are happy to provide you with Practice and Qualifying programmes or you can choose to join us for just one element. Find out more.

Can we see your insurance, AALA license and Risk Assessments?

Yes, of course. Please get in touch and we can email copies of all the relevant documentation you require.

How will I know the expedition has reached minimum numbers and is confirmed to run?

We require a minimum of 7 participants for an Open DofE expedition to run. Its very rare that we have to cancel an expedition due to low numbers. A decision to confirm the expedition is running will be made 4 weeks before the start date. We will make contact with you in the unlikely event that we have to cancel. Should this happen, your booking can be moved to a future date with us within 12 months, or alternatively, we can offer a full refund.

Which area of the country do your expeditions usually take place?

Primarily, our expeditions are held in the Lake District, Peak District and Yorkshire Dales.

Who is responsible in the evenings?

On our Open Expeditions, our experienced, qualified and friendly instructors will be responsible for you throughout the Expedition. Depending on the location, conditions, Award level and ability of the group, your instructor may or may not stay on the campsite - this helps promote independence and a sense of self-reliance. However, instructors will always be available and nearby in case of an emergency.

What equipment does The Adventure Element provide?

As standard, we can provide the following group equipment: tents, stoves & fuel, pans, first aid kits, maps, map cases, group shelters, coloured rucksack covers. We can also provide spare rucksacks and various other kit and equipment. Please chat to us when you book your expedition about your kit requirements.

Do you provide compass and maps?

We provide 2 maps of the relevant expedition area, per team, plus map cases. We do not provide compasses, these must be brought by the participants. Ideally, every member of the team should have a compass, but as a minimum there should be 2 per group. Spares will be brought, but please let us know beforehand if a participant will definitely need to borrow a compass.

Can participants borrow a rucksack?

Yes, of course. Participants usually use their own rucksacks, but if a student specifically needs to borrow one for the duration of the Expedition please let us know in advance. Spare rucksacks will also be brought on the Expedition as a back-up should anyone's rucksack become damaged.

Do you use trackers with groups?

Yes, a GSM tracker is given to each group. Our instructors will remotely supervise groups, as well as meeting up in person, but a tracker is also issued as an additional means of locating teams and an added safety measure.

My DofE journey

Do you offer Bronze, Silver and Gold Open programmes?

We offer Open programmes for Silver and Gold Practice and Qualifying expeditions, but not Bronze. We are happy to provide you with Practice and Qualifying programmes or you can choose to join us for just one element. Find out more.

How do participants pass their DofE?

The expedition is only one element of the DofE Award, but quite a significant one. Take a look at the DofE websitefor details of expedition aims and requirements. Please get in touch if we can help with more information or explanation.

How fit do participants need to be?

A DofE expedition is strenuous and participants should be prepared physically for multiple days with between 6-8 hours of walking per day, depending on the level of award being undertaken. Not training enough will mean the expedition may feel harder than is needed.

Can participants change groups?

Yes. Ideally, participants will remain in the groups in which they begin the programme. However, we understand that situations arise where group changes are necessary, for a number of reasons, and where possible and practical we will try to accommodate group changes for participants.

Do participants have to share a tent?

Yes, participants will share a tent throughout the expedition. This will either be a two or three-person tent.  Groups sharing will be single-sex. Under 18's will NOT share a tent with those aged over 18.

If there are medical or personal needs that mean a young person requires their own tent, this should be discussed in advance of the expedition start date to allow for arrangements to be made, where possible.

Who will be in my team?

Open expeditions are designed for individuals who are unable to join their own groups' expedition dates. This means there will be participants (aged 16-24 years - please see our Safeguarding Policy) from all over the country as part of the programme. This is a great opportunity to make some new friends and share the experience together. 

What happens if a participant can't complete the expedition?

There are often a variety of reasons that participants are unable to fully complete their expedition. Each case will be reviewed on an individual basis, taking into consideration the specific situation of the young person involved. For example, if a participant is unable to complete the expedition due to illness or injury, they will simply need to retake that part again. More information can be found on the DofE Award website.

Can I change which team I am in?

We will carefully select teams prior to your arrival based on age and experience. If on arrival we feel personalities and characters would work better together, we will adjust the teams accordingly. Completing an Open expedition is a great way to meet and work with new people and will be a very positive experience.

If a participant has a medical condition, can they still do the expedition?

Potentially, yes, but this is dependent on the nature and seriousness of the condition or injury. We would ask that you please contact us in advance of the expedition start date to discuss any worries or concerns you have relating to the medical condition or injury of a student. We can then assess how best to manage and support them throughout the expedition and if it will be possible.

Can I contact my child / my parent on expedition?

We strongly advise that no contact between participants and parents is made throughout the Expedition, other than in the case of an emergency, extenuating circumstances or prior agreement.

It is extremely important that participants are properly equipped for the expedition with the right kit and equipment, for safety reasons. Spares of some essential items will be brought, but we can't guarantee there will be enough kit, or the right kit, available to borrow. Please let us know beforehand if there is any kit or equipment that is required and we will do our best to provide this, where possible.

Can participants use their own equipment?

Yes, of course. Participants are more than welcome to use their own equipment if preferred, as long as it is suitable for the terrain and environment in which it will be used. We usually provide, as standard, many of the required group equipment items, as well as the option of various kit items, but participants can also use their own.

What size rucksack would you recommend?

For a Duke of Edinburgh expedition, the recommended rucksack size is between 60 - 65 litres for Bronze or Silver, and 65 - 75 litres for Gold. This allows plenty of room to fit in personal gear, plus a share of group equipment that will also need to be carried. How heavy can rucksacks be?

In line with DofE guidance, a rucksack should weigh no more than 25% of your body weight, or 14kg - whichever is lighter. Rucksacks can be weighed on the first day of an expedition programme.

Can participants wear trainers or walking shoes?

No, participants can't wear trainers for their Expedition, however, walking shoes are acceptable as long as they are appropriate for the terrain with a suitable tred and solid sole. These will need to be checked prior to the Expedition.

What is the best way to carry water, in a bottle or bladder?

We recommend the ability to carry at least 2 litres of water, each day. Important considerations when choosing a bottle or bladder include, how robust it is, how wide the mouth area is, plastic or stainless-steel, is it leak-proof, impact-resistant, and easy to fill at natural water sources. Can participants use their phones?

The use of mobile phones during an expedition is primarily for emergencies, although it is acceptable to use them for photos or videos if this will contribute to a team's 'aim'. Phones must be turned off, or in airplane mode if being used for the team 'aim' photos. All phones not being used will be placed in a sealed bag to prevent uncessessary use.

Can I bring speakers to play music?

No. We advise participants not to bring any devices such as speakers or gaming devices due to the risk of them being damaged or broken. If music is played through a phone, this is on the understanding that it can only be listened to outside of Expedition journeying time, and only with headphones - to limit the noise for others on campsites.

Do participants need any money?

Participants are not required to bring money on the expedition, as they will be self-sufficient throughout. However, bringing a small amount (or having access to) can be useful for emergencies and buying food on the journey to and from the expedition location.

Can students bring games or sports equipment for the evenings?

Yes of course. Although expeditions can involve long days, and be tiring, there is usually time at the end of the day to have fun, relax and catch up friends. The type of games or sports equipment will largely be limited to what will fit in a rucksack, remember everything has to be carried! We suggest bringing items such as a ball (small, not football sized), playing cards or other small and packable games. A good idea is to chat with other participants beforehand, so you have a mix of games between groups, rather than everyone bringing a ball, for example.

What can I do with any clothing or equipment I do not need whilst I am on expedition?

If you want to bring additional clothes or equipment that you do not want to use during the expedition (i.e. clothes to travel home in), you can leave these with your instructor. Your instructor will arrange for your belongings to be stored while you are out on expedition. They will then be returned to you at the end of the programme. Any belongings are left at your own risk so we advise not to bring anything of value.

Expedition food

What happens if a participant runs out of food?

Provision will be made and food arranged if a participant runs out of food. However, we would ask that everyone read the information sent, including food planning tips, prior to arrival on the expedition so they are fully prepared with enough food, and the right sorts of food, to last.

Can I go shopping after I arrive at the expedition venue and before I start the expedition?

We would rather you bring everything you need for the whole programme and expedition on day 1. The programme is packed with content so taking time out for shopping can effect the flow of the programme. However, if you have your own car, you are more than welcome to take yourself shopping in the evening once the day has finished. Our expedition venues are approx 10 minutes drive from the nearest supermarket.

Will any food be provided?

No, it is not usual for The Adventure Element or instructor team to provide any food during the expedition.

Can fresh food be brought on the expedition?

Our advice is to only plan to use fresh foods for the first few days of your programme. After this, students will be on Expedition and can't guarantee that food will stay fresh.  Strictly no fresh meat is to be brought.

Will there be drinking water available throughout the expedition?

Drinking water will always be available at each camp so it can be topped up on arrival and before leaving each morning. We suggest bringing a means of purifying water whilst out on the hills if students run out. Water purification tablets will also be provided.

Can participants cook food at lunch time?

No, it is not possible for participants to cook using their stoves at lunch time. This is for safety reasons as it can't be guaranteed that an instructor will be with them to supervise. One suggestion, if participants would like food that requires cooking for lunch, is for them to cook this at breakfast time and take with them.

Transport for DofE expeditions

Do I have to arrange my own transport to get to the Expedition start?

Travel to and from your Expedition venue is not included. All of our venues are carefully selected so they have easy access by public transport. To get to the venues, it would would normally involve getting a public bus from the train station. We will provide you with full travel information once you have made your booking if required and can suggest options as to the best way to travel to the venue.

If I drive my car to the venue, can it be left there while I am on expedition?

Please let us know in advance if you require somewhere to leave your car during the Expedition. We will advise of an appropriate location. Please note, The Adventure Element does not accept any responsibility for the security of your vehicle.

Yes! Booking and making arrangements with campsites, or bunkhouse accommodation, is all included. We have many years of experience using various campsites and know which ones work best for a DofE expedition. We have also built strong relationships with the owners to ensure everything runs smoothly while we are there.

Will our groups have sole use at the campsites, or will there be members of the public?

We can't guarantee that your groups will have campsites, and their facilities, to themselves. The campsites we use are all open to the public and usually have bookings other than ours, so it is rare to have sole use of a campsite. However, on some sites, DofE groups are allocated a specific area away from the main public camping areas.

Will there be an indoor space available at the start of the programme?

Yes. The first day (s) of a DofE programme is usually spent checking kit, learning expedition skills, route planning and marking up the maps. Therefore, an indoor area is necessary to allow a dry space to lay out kit, spread out maps etc.

What happens if the weather is too hot, too cold, too wet?

Each situation will be assessed on an individual basis. If the weather could potentially create a risk, a decision might be made to alter the expedition route or change the start times. In significantly extreme weather, arrangements will often be made to meet groups more frequently to review the situation and well-being of the group. The safety and health of participants is always our priority and decisions regarding the weather will be made with this in mind.

Do you need to know about medical conditions?

It is essential that you let us know about any medical conditions or injurys of participants when booking. Please also inform our staff at the start of the programme if any conditions have changed. This information will remain completely confidential but is essential to allow us to tailor the programme to suit and to ensure the safety of participants and other group members.  Teaching staff will be asked to complete a 'Participant Information' form prior to arrival, where all relevant medical details should be recorded.

What happens if my team gets lost?

Don't panic! Navigation mistakes are common and they are a great way to learn. Our instructors use a mix of direct and remote supervision so they are never far away if needed. In addition to this, each group is given a tracker so we can constantly monitor your location in case of an emergency.

What is remote supervision?

Remote supervision means that participants are monitored and observed from a distance, out of sight and hearing. Instructors will not walk directly with a group, but will be constantly checking and tracking them, often meeting at checkpoints, road crossings or campsites. Remote supervision gives teams independence and responsibility, but allows our instructors to observe from a reasonable distance, being close enough to intervene or support if the need arises.

Of course! We would actively encourage you to pay us a visit. The best time to visit is whilst we have a programme taking place. Do you offer bespoke programmes?

Yes! We understand that every school, or group, is different. Some might need more input, ideas and management, some might just want an extra few pairs of feet on the ground. Find out more.

I am a qualified Lowland Leader (LL) / Hill and Moorland Leader (HML) / Mountain Leader (ML), can I hire you to run the expedition but work on it myself to keep costs down?

Yes, of course. We are happy to support your DofE expeditions in any way we can. Our qualified instructors can work alongside your existing staff and be that extra pair of hands you need.

We have a training day in school, can you supply some staff to help us run it?

Yes, of course. We are happy to support your DofE training, or expeditions, in any way we can. Our qualified instructor team can be flexible and be that extra pair of hands wherever needed, working alongside existing staff.

Which area of the country do your expeditions usually take place?

We can run DofE Expeditions anywhere across the UK. Primarily, our Expeditions are held in the Lake District, Peak District and Yorkshire Dales, but we frequently run Expeditions in other parts of the UK including Wales and Scotland. Our Bespoke DofE Award Expedition packages can be run from your preferred location and we are happy to make suggestions and advise on the most appropriate area for you.

Are there other options if a student can't make the expedition dates?

Yes! We run a number of 'Open' Silver and Gold expeditions throughout the year, so there is the option for any students that miss, or can't make, their school or group expedition to book onto one of our Open programmes.

My DofE journey

How do participants pass their DofE?

The expedition is only one element of the DofE Award, but quite a significant one. Take a look at the DofE websitefor details of expedition aims and requirements. Please get in touch if we can help with more information or explanation.

How fit do participants need to be?

A DofE expedition is strenuous and participants should be prepared physically for multiple days with between 6-8 hours of walking per day, depending on the level of award being undertaken. Not training enough will mean the expedition may feel harder than is needed.

Can participants change groups?

Yes. Ideally, participants will remain in the groups in which they begin the programme. However, we understand that situations arise where group changes are necessary, for a number of reasons, and where possible and practical we will try to accommodate group changes for participants.

Do participants have to share a tent?

Yes, participants will share a tent throughout the expedition. This will either be a two or three-person tent.  Groups sharing will be single-sex. Under 18's will NOT share a tent with those aged over 18.

If there are medical or personal needs that mean a young person requires their own tent, this should be discussed in advance of the expedition start date to allow for arrangements to be made, where possible.

What happens if a participant can't complete the expedition?

There are often a variety of reasons that participants are unable to fully complete their expedition. Each case will be reviewed on an individual basis, taking into consideration the specific situation of the young person involved. For example, if a participant is unable to complete the expedition due to illness or injury, they will simply need to retake that part again. More information can be found on the DofE Award website.

If a participant has a medical condition, can they still do the expedition?

Potentially, yes, but this is dependent on the nature and seriousness of the condition or injury. We would ask that you please contact us in advance of the expedition start date to discuss any worries or concerns you have relating to the medical condition or injury of a student. We can then assess how best to manage and support them throughout the expedition and if it will be possible.

Packing list & equipment on expedition

What equipment does The Adventure Element provide?

As standard, we can provide the following group equipment: tents, stoves & fuel, pans, first aid kits, maps, map cases, group shelters, coloured rucksack covers. We can also provide spare rucksacks and various other kit and equipment. Please chat to us when you book your expedition about your kit requirements.

Do you provide compass and maps?

We provide 2 maps of the relevant expedition area, per team, plus map cases. We do not provide compasses, these must be brought by the participants. Ideally, every member of the team should have a compass, but as a minimum there should be 2 per group. Spares will be brought, but please let us know beforehand if a participant will definitely need to borrow a compass.

Can participants borrow a rucksack?

What happens if a participant doesn't bring all the required kit / equipment?

It is extremely important that participants are properly equipped for the expedition with the right kit and equipment, for safety reasons. Spares of some essential items will be brought, but we can't guarantee there will be enough kit, or the right kit, available to borrow. Please let us know beforehand if there is any kit or equipment that is required and we will do our best to provide this, where possible.

Can participants use their own equipment?

Yes, of course. Participants are more than welcome to use their own equipment if preferred, as long as it is suitable for the terrain and environment in which it will be used. We usually provide, as standard, many of the required group equipment items, as well as the option of various kit items, but participants can also use their own.

What size rucksack would you recommend?

For a Duke of Edinburgh expedition, the recommended rucksack size is between 60 - 65 litres for Bronze or Silver, and 65 - 75 litres for Gold. This allows plenty of room to fit in personal gear, plus a share of group equipment that will also need to be carried. How heavy can rucksacks be?

In line with DofE guidance, a rucksack should weigh no more than 25% of your body weight, or 14kg - whichever is lighter. Rucksacks can be weighed on the first day of an expedition programme.

Can participants wear trainers or walking shoes?

No, participants can't wear trainers for their Expedition, however, walking shoes are acceptable as long as they are appropriate for the terrain with a suitable tred and solid sole. These will need to be checked prior to the Expedition.

What is the best way to carry water, in a bottle or bladder?

We recommend the ability to carry at least 2 litres of water, each day. Important considerations when choosing a bottle or bladder include, how robust it is, how wide the mouth area is, plastic or stainless-steel, is it leak-proof, impact-resistant, and easy to fill at natural water sources. Can participants use their phones?

The use of mobile phones during an expedition is primarily for emergencies, although it is acceptable to use them for photos or videos if this will contribute to a team's 'aim'. Phones must be turned off, or in airplane mode if being used for the team 'aim' photos. All phones not being used will be placed in a sealed bag to prevent uncessessary use.

Can I bring speakers to play music?

No. We advise participants not to bring any devices such as speakers or gaming devices due to the risk of them being damaged or broken. If music is played through a phone, this is on the understanding that it can only be listened to outside of Expedition journeying time, and only with headphones - to limit the noise for others on campsites.

Do participants need any money?

Participants are not required to bring money on the expedition, as they will be self-sufficient throughout. However, bringing a small amount (or having access to) can be useful for emergencies and buying food on the journey to and from the expedition location.

Can students bring games or sports equipment for the evenings?

Yes of course. Although expeditions can involve long days, and be tiring, there is usually time at the end of the day to have fun, relax and catch up friends. The type of games or sports equipment will largely be limited to what will fit in a rucksack, remember everything has to be carried! We suggest bringing items such as a ball (small, not football sized), playing cards or other small and packable games. A good idea is to chat with other participants beforehand, so you have a mix of games between groups, rather than everyone bringing a ball, for example.

Expedition food

Can participants go shopping after arriving at the expedition venue and before starting the expedition?

We would rather students bring everything they need for the whole programme and expedition on day 1. The programme is packed with content so taking participants shopping can effect the flow of the programme. However, if the school / organisation staff have their own transport, they are more than welcome to take students shopping, or go themselves, in the evening once the day has finished. Our expedition venues are approx 10 minutes drive from the nearest supermarket.

What happens if a participant runs out of food?

Provision will be made and food arranged if a participant runs out of food. However, we would ask that everyone read the information sent, including food planning tips, prior to arrival on the expedition so they are fully prepared with enough food, and the right sorts of food, to last.

Will any food be provided?

No, it is not usual for The Adventure Element or instructor team to provide any food during the expedition.

Can fresh food be brought on the expedition?

Our advice is to only plan to use fresh foods for the first few days of your programme. After this, students will be on Expedition and can't guarantee that food will stay fresh.  Strictly no fresh meat is to be brought.

Will there be drinking water available throughout the expedition?

Drinking water will always be available at each camp so it can be topped up on arrival and before leaving each morning. We suggest bringing a means of purifying water whilst out on the hills if students run out. Water purification tablets will also be provided.

Can participants cook food at lunch time?

No, it is not possible for participants to cook using their stoves at lunch time. This is for safety reasons as it can't be guaranteed that an instructor will be with them to supervise. One suggestion, if participants would like food that requires cooking for lunch, is for them to cook this at breakfast time and take with them.

Transport for DofE expeditions

Do we need to have our own transport throughout the expedition?

Yes please. We ask that supporting staff from your school, or group organisation, have their own transport. Our instructors will be busy supervising the students so are not able to transport other staff during the expedition. Your own transport is also especially useful to help with the collection of any students if problems should arise.

How do we arrange travel?

Travel to and from your expedition venue is not included. Schools and groups will need to arrange for minibuses or coaches, which ideally would stay in the area for the duration of the expedition. Please discuss requirements with us.

DofE expedition logistics

Which area of the country do your expeditions usually take place?

We can run DofE Expeditions anywhere across the UK. Primarily, our Expeditions are held in the Lake District, Peak District and Yorkshire Dales, but we frequently run Expeditions in other parts of the UK including Wales and Scotland. Our Bespoke DofE Award Expedition packages can be run from your preferred location and we are happy to make suggestions and advise on the most appropriate area for you.

Can participants change groups?

We actively encourage visiting staff to take an active role in the expedition where possible.

Who is responsible for the students in the evenings?

Once the teams have arrived in camp and cooked safely, our instructor staff will begin to stand down for the night. Responsibility will be handed back to the accompanying visiting staff who will supervise teams over night and take care of any pastoral issues should they arise. The Adventure Element staff are on call 24 hours should they be needed to assist with safety issues.

Will you take care of booking any campsites needed?

Yes! Booking and making arrangements with campsites, or bunkhouse accommodation, is all included. We have many years of experience using various campsites and know which ones work best for a DofE expedition. We have also built strong relationships with the owners to ensure everything runs smoothly while we are there.

Will our groups have sole use at the campsites, or will there be members of the public?

We can't guarantee that your groups will have campsites, and their facilities, to themselves. The campsites we use are all open to the public and usually have bookings other than ours, so it is rare to have sole use of a campsite. However, on some sites, DofE groups are allocated a specific area away from the main public camping areas.

Will there be an indoor space available at the start of the programme?

Yes. The first day (s) of a DofE programme is usually spent checking kit, learning expedition skills, route planning and marking up the maps. Therefore, an indoor area is necessary to allow a dry space to lay out kit, spread out maps etc.

What happens if the weather is too hot, too cold, too wet?

Each situation will be assessed on an individual basis. If the weather could potentially create a risk, a decision might be made to alter the expedition route or change the start times. In significantly extreme weather, arrangements will often be made to meet groups more frequently to review the situation and well-being of the group. The safety and health of participants is always our priority and decisions regarding the weather will be made with this in mind.

Health & safety for DofE

Are all of your staff DBS checked?

Yes, all staff working with young people hold a DBS Enhanced check (Disclosure Barring Service). In addition, they subscribe to the DBS update scheme. Copies can be supplied upon request.

Are you approved as an activity provider for schools like ours?

We are supported by many LEA's across the country who trust in our standards of operation. We work with hundreds of young people each year. We are licensed by AALS and follow national professional standards, as well as being DofE AAP. Visit our Safety and Accreditation page for more information.

Can we see your insurance, AALA license and Risk Assessments?

Do you need to know about medical conditions?

It is essential that you let us know about any medical conditions or injurys of participants when booking. Please also inform our staff at the start of the programme if any conditions have changed. This information will remain completely confidential but is essential to allow us to tailor the programme to suit and to ensure the safety of participants and other group members.  Teaching staff will be asked to complete a 'Participant Information' form prior to arrival, where all relevant medical details should be recorded.

What happens if my team gets lost?

Don't panic! Navigation mistakes are common and they are a great way to learn. Our instructors use a mix of direct and remote supervision so they are never far away if needed. In addition to this, each group is given a tracker so we can constantly monitor your location in case of an emergency.

What is remote supervision?

Remote supervision means that participants are monitored and observed from a distance, out of sight and hearing. Instructors will not walk directly with a group, but will be constantly checking and tracking them, often meeting at checkpoints, road crossings or campsites. Remote supervision gives teams independence and responsibility, but allows our instructors to observe from a reasonable distance, being close enough to intervene or support if the need arises.

What's not included?

We create a package that is designed exactly to your needs, this can include an extensive range of additions to make your event stand out. Things that aren't included are tasks such as recruitment of participants, and PR and promotion of your event. 

With The Adventure Element managing the logistics, planning and creation of your event, you have more time to focus on your fundraisers. This allows you to focus on building your fundraiser relationships and maintaining your charity brand and communications.

Costs and Fundraising

What are our financial commitments?

On securing your event, we will require a 25% non-refundable deposit. In addition, a Service Providers Agreement will be drawn up for both parties which clearly defines any additional finances, cancellation terms and time scales.

Are there are hidden costs?

No hidden costs. We are upfront and maintain transparent costing and communication so we are all on the same page. Once we have all agreed on the event, inclusions and goals, we provide a clear plan and pricing so you can budget effectively and see your ROI.

Can you offer a sliding scale for participant sign ups?

Yes! We can provide a sliding scale of participant numbers so that you can determine a reasonable goal for your event signups. At the point of booking, we will discuss your minimum sign-up requirements to make the event finacuially viable for all parties. We will also discuss what the maximum participant levels will be, and the costs.

Do you offer different packages?

Absolutely. We create a package catered to your needs, budget and goals. Chat to us about what that looks like.

How are participant donations handled?

We appreciate the relationship with your fundraisers is sacred. That's why we focus on the logistics of the event which allows you the time to focus on your fundraiser journeys and their donations. Donations are kept separate.

Can we offer our fundraisers part-payment and fundraised-covered places?

Yes! However you decide to sell event places to your fundraisers and promote your event is entirely up to you. We leave you to manage your fundraiser journey and event promotion so you can build those relations as you wish. 

Support and Communication

Will you host a pre-event webinar for our participants?

Our Event Manager Chris or Director Ben will be the friendly face that greets participants on a webinar pre-event, giving a thorough pre-event briefing and guiding everyone through the day ahead. Any questions can be covered in the meeting too. We find participants enjoy this element as they have a familiar face to look out for on Event Day.

How will we provide all the necessary information to our participants?

We provide you with a thorough Event Guide that you are welcome to distribute to your participants to help answer any questions that arise. This 'adventure bible' will contain all the necessary information your participants need regarding the day.

How will you support us throughout the event?

On Event Day, we keep the event running seamlessly, with our team in place to manage safety, navigation, support, food and drink, and any guidance. This leaves you to enjoy interacting with your fundraisers and showing them your gratitude towards their efforts. We do the leg work and logistics so you can strengthen your fundraiser relationships.

Will you help us with our marketing?

We provide a Marketing Pack with inspiring images, top tips for marketing, suggested plan, and content ideas to name a few, that should help you on your way with promoting your event. Got any questions? You are welcome to speak to our in-house Marketing Team who are happy to bounce ideas around and share their expertise. 

Will you promote our event for us?

Promoting your event is down to you however we are happy to be tagged in any social posts and collaborative blogs that we will then share on our channels. We are also happy to share with you links to our YouTube videos and blog posts that you can share on your channels. 

Who will be our main point of contact?

Chris, our Events Manager, will likely be your main point of contact. We are a small personable team so over time you will undoubtedly be welcomed to all of us and we will all be kept in the loop about your event.

What space and collateral will be provided for us to ensure our event displays our branding?

We invite you to bring along branding to decorate your event and provide photo opportunities for your fundraisers. We can provide some flags, large scale maps of routes, and signage to help inform participants. You will have plenty of space for a dedicated area to greet fundraisers, a gazebo for handing out medals and a TV if you wish to display any messaging. Feel free to chat with us about what you would like this to look like.

Logistics, Health and Safety

What are your safety plans and procedures?

Safety has to be everyone's top priority. We will carry out extensive safety consultations, and create risk assessments and operational procedures, to ensure all eventualities are prepared for. Some of our protocols may include the addition of paramedics onsite, use of trackers to visually gauge progress of teams, and having experienced and qualified staff on the ground assisting at all times. Each of our events are individually curated, therefore the level of planning is adjusted accordingly.

Have you got recommended suppliers you work with?

We are proud to work with excellent suppliers for catering, safety and medical, bike mechanics, and venues. As part of being your event provider we can source all of these for you and arrange for them to be in place.

What do we need to bring along to the event?

You might like to bring along charity merchandise, fundraising pots, and charity signage. Whatever you feel you would like to add to your event. We can provide tables, tablecloths and sheltered space to set up your welcome table.

What equipment is included?

All technical equipment is supplied. You will be provided with a bespoke and branded Kit List and Event Guide. These documents clearly identify the personal equipment and clothing each participant will need for the challenge. 

Do we need any permits, insurance or licenses?

As part of being your event partner, we will ensure all permissions and licences are in place appropriate to your event. Rest assured, the charity will require Liability insurance which matches our cover of £10m. We would also recommend individuals have personal cover for belongings, personal injury and curtailment.

How many participants is your minimum and maximum?

We have extensive experience of delivering events for small teams of 10 through to larger scale events for thousands. Minimum and maximum numbers vary and is governed by location and venue however we are flexible and can always look for options that suit your event needs. Let us know your goals and expectations of team size and we can find something that works great for you.

Will you help us come up with an event idea?

Absolutely. We create an event catered to your needs, budget and goals. Whether you are after an outside-the-box adventure or a classic hike, we have got the resources, creativity and experience to bring it to life. Explore our page for inspiration.

Are refreshments provided?

Refreshments are provided. We have options for food and water stations laden with sweets, fruit, fig rolls, even waffles and Biscoff sauce! We can add on celebration meals that can include a range of options such as BBQ, freshly cooked chilli, or woodfired pizza.

Is parking, accommodation and transport provided for participants?

Parking is always considered as part of the event planning. Accommodation is left up to the individuals to book, or for the charity to arrange. Local coach or minibus travel can be arranged, depending on the event and it's logistics.

What happens if it is bad weather?

In bad weather, we will arrange a lower route and will provide further resources to accommodate participant safety and comfort. If there are extreme conditions, an event may need to be postponed or cancelled. Safety and care is always paramount and the priority.

Event Preparation

Is previous experience necessary for some of your more specialised activities?

No previous experience is necessary although we do recommend training for our events for maximum enjoyment minimum pain. Going on training hikes, having time in the saddle and keeping up a general level of fitness will help you make the most of the day with us. We will provide you with a training plan to assist you with your preparation.

How fit do participants need to be?

We provide a training plan in line with your specific challenge that is useful to see as a guideline for your fitness. We recommend a general level of fitness and to have completed some training hikes or bike rides to help get used to time on feet or in the saddle and break in your walking boots. The more you train the more fun you can have on the day!

Will there be parking arrangements?

Parking options vary depending on venue and location as expected, but we do encourage car shares to reduce our environmental impact. Please see your specific Event Guide to find out the parking arrangements and if a parking permit will be provided to you for the day. We always take care to consider parking availability and options for participants and will always provide recommended options.

Where can we book accommodation?

Accommodation options vary depending on venue and location as expected. Some participants choose to camp nearby at recommended campsites, others prefer a little more luxury and make use of nearby hotels. If you choose to return home after the event, please take care that you are not too tired to drive.

Do we have to do any planning for the day?

Let us do the leg work. We will supply you with all of the details you need to recruit and engage your participants, which includes Joining Information, logistics and kit lists. You might like to incorporate some of your ideas or bring along some additional special touches on the day, simply let us know and we can factor that into the itinerary. 

Will transport be included?

Events are designed so that once you get to the Event Hub there is no need for transport between phases or locations, as you will be moving by foot, boat or bike. Transport around the event such as getting to and from the event are not included. However, we can arrange coaches or minibuses at your request. Participants often extend their plans to stay in the area whilst others are keen to get home. 

Kit List & Equipment

What bikes will we need and what mechanical support will there be?

Our routes are designed to be accessible and inclusive, regardless of whether they are on road or off road. We provide guidance and information videos specific for your event, to ensure you have the correct bike for the job. 

There will be mechnical support available. We recommend, where possible, trying to fix any punctures yourself, simply for ease of you continuing on your way in a more timely fashion. However we will have bike professionals on hand to come to you as soon as you flag to us.

Do we need special equipment?

We will share with you a kit list before the event that covers everything you need for the day. However all the kit required will be essential items that you will have used as part of your training for the event such as waterproofs, walking boots, bike, water bottle. What do we need to bring with us?

We will share with you a dedicated kit list before the event that will include a recommended packing list, top tips and all information around the event to make sure you are fully informed and ready to adventure with us.

What snacks should we bring with us?

We recommend packing a selection of your favourite snacks with you that you know you can stomach. Great snack options include bananas, trail mix, energy bars (if you have tried them before the day). Snacks that offer high energy and slow burn. You won't go hungry as we will have plenty of snacks and food options on the day and cater for dietary requirements if informed prior. 

Event Day

On an Adventure Triathlon style event, do we have to carry all of our stuff?

You will just have to carry your recommended essentials for each of the phases you are completing, for example on the Hike Phase we recommend you carry waterproofs, water, warm layers and a few snacks. At the Event Hub you will be given a dedicated team area where you can keep any other belongings for safekeeping. Between phases you might like to swap your kit around and collect different items from your area. 

On a hiking event, do we have to carry all of our stuff?

You will need to bring along to the event all items on the kit list, and will have to carry the recommended essentials for the prevailing conditions, as guided by our staff. For example, we recommend you carry waterproofs, water, warm layers and a few snacks. 

What support is there on the challenge?

Throughout the route you are fully supported by The Adventure Element team of experienced leaders. You can enjoy food and water stations. Routes will either be route-marked and/or led by a qualified mountain leader. On most of our events, particpants will be given a tracker. This is used to help us follow your progress. The link to the tracker can also be given to friends and family so they can support you virtually and see how you are doing. Allowing people to follow your progress has been proven to help maximise any fundraising. 

What food is included in the event?

The food on each event varies depending on the choice of the Corporate or Charity that is running the event. We offer delicious options that range from bacon sandwich breakfasts or filling lunchboxes to celebration meals such as BBQ or freshly cooked chilli. At the food stations throughout the course, you can expect a range of refuelling snacks including fruit, sweets, fig rolls, crisps, and a firm favourite: waffles with Biscoff sauce! Our food always comes with a full ingredient list detailing all allergens and we can cater for all dietaries if informed prior.

Health and Safety

If someone can’t swim, can they still take part in watersports?

Yes, participants who are unable to swim may still take part in the paddling phase of the event, provided they meet all recommended safety requirements and wear the required safety jacket at all times whilst on the water. We have powerboats on the water for safety, and can support anyone who is feeling nervous.

What happens if someone gets tired?

Challenges get tiring, you're only human! Take a rest, either at the Event Hub or on the hill with a breathtaking view, make sure you are eating plenty of food and hydrating too. If you feel you are over-exerting yourself or wish to leave the event, please approach a member of staff and inform them. We have support vehicles and exit plans for varying circumstances. We are there to help you and keep you safe.

Costs and Fundraising

We would like to support a charity. How do we go about this?

Simply let us know which charity you would like to support and introduce us so that we can ensure they are sufficiently supported and represented at your event. If you are unsure who you'd like to fundraise for, we can help find a charity that suits your team. We have spent years working with charities so this is very familiar territory for us.

Do you have recommendations of charities to support?

We are proud to have a host of charities that we work with and can happily recommend if you wish to support a worthy cause. We can put you in touch with our charity friends. With years of working together, we know the best person to put you in touch with to save you the hassle.

How much does it cost to carry out an event with you?

Our events vary massively from day hikes in the mountains to tri-challenges that include hike, bike and paddle phases. Every event that we create is designed especially to individual needs, speak with us to discuss an accurate pricing for what you are envisioning. Alternatively, if you have spotted a particular event that has inspired you, just get in touch.

What if we need to cancel?

On securing your event, we will require a 25% non-refundable deposit. In addition, a Service Providers Agreement will be drawn up for both parties which clearly defines any additional cancellation terms and time scales.

Signing Up

Can I sign up as an individual or do I need a team?

Currently our large-scale events are designed for team-participation and we do not accept individuals. Please check out our Partners page if you would like to join a challenge we organise. Is this challenge suitable for my team?

All of our events are designed to cater for a mix of abilities and promote accessible adventures. We can ramp up the challenge factor or ease up the elevation and focus on the fun. In our corporate focused days we can incorporate cognitive challenges as well as physical challenges into the day so that we have something that plays to every strength in the team. Speak to us about your team's needs and abilities and we can do the rest!

What’s not included?

We can create bespoke experiences that include everything you need for a brilliant day. You may like to bring along your own additions and that's absolutely fine. Before we get the ball rolling, we will make sure we are all on the same page so as to not only meet your expectations but exceed them.

Event Preparation

How fit do participants need to be?

We provide a training plan in line with your specific challenge that is useful to see as a guideline for your fitness. We recommend a general level of fitness and to have completed some training hikes or bike rides to help get used to time on feet or in the saddle and break in your walking boots. The more you train the more fun you can have on the day!

Will there be parking arrangements?

Parking options vary depending on venue and location as expected, but we do encourage car shares to reduce our environmental impact. Please see your specific Event Guide to find out the parking arrangements and if a parking permit will be provided to you for the day. We always take care to consider parking availability and options for participants and will always provide recommended options.

Where can we book accommodation?

Accommodation options vary depending on venue and location as expected. Some participants choose to camp nearby at recommended campsites, others prefer a little more luxury and make use of nearby hotels. If you choose to return home after the event, please take care that you are not too tired to drive.
